If a good portion of your guest list will be from out of town, you may want to consider having a hospitality suite at the hotel you book for your guests. This can be a small meeting room or even a regular hotel room, it doesn't need to be an actual hospitality suite. This will give your guests a base where they can meet other people and catch up with friends and family. Provide simple snacks such as cookies, muffins, chips and drinks such as coffee, tea, soft drinks. Recruit friends and family to keep the room tidy and replenish supplies.


When negotiating with your vendors, remember that your words and tone of voice make all the difference. If you know what you want and sound like you mean business, then you're likely to get it! Try rehearsing your statements before meeting or speaking with vendors.
